Switchcom IT (Pty) Ltd is a South African internet connectivity, hosting, website, billing, and information technology services provider. Our registered business address is 71 Stormberg Avenue, Bosmont, Randburg, Johannesburg, Gauteng, 2093, South Africa.
Depending on your relationship with us, we may collect your name, surname, company name, identity or passport information where required, telephone number, email address, physical and installation addresses, service location, package and equipment details, billing information, invoice and payment references, support requests, service notes, and communication preferences.
When you use our website, we may also receive basic technical information such as your IP address, browser type, device information, pages visited, form submissions, cookies, and security logs.
If you provide a mobile number or communicate with us through WhatsApp, we may use that number to send service updates, installation notices, billing reminders, support responses, account notifications, and other messages connected to your relationship with Switchcom IT.
WhatsApp messages are delivered using the WhatsApp Business Platform provided by Meta. Meta may process telephone numbers, profile information, message-delivery information, and related technical metadata according to its own terms and privacy policy. We record delivery states such as queued, sent, delivered, read, failed, or opted out to maintain an accurate communication history.
You can opt out of non-essential WhatsApp notifications at any time by replying STOP or contacting us. Essential contractual, security, billing, or service messages may still be sent where permitted or required.
We use personal information to create and administer client accounts, provide and maintain services, install and track equipment, issue invoices and quotations, process and reconcile payments, communicate service updates, handle support requests, prevent fraud, secure our systems, meet legal and regulatory duties, and improve our products and customer experience.
We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). Processing may be based on your consent, performance of a contract, compliance with a legal obligation, protection of a legitimate interest, or our legitimate operational interests where these do not unfairly override your rights.
We do not sell personal information. We may share only the information reasonably necessary with trusted service providers involved in hosting, infrastructure, connectivity, payment processing, accounting, email, messaging, customer support, fraud prevention, and legal compliance. This may include Meta for WhatsApp delivery and PayFast or banking providers for payment processing.
Some providers may process information outside South Africa. Where cross-border processing occurs, we use providers and safeguards intended to provide an appropriate level of protection.
Payment card information entered into an approved payment gateway is processed by that payment provider and is not intended to be stored in full by Switchcom IT. We may retain payment identifiers, references, dates, amounts, methods, and statuses for reconciliation, support, fraud prevention, and statutory recordkeeping.
We retain information only for as long as reasonably necessary to provide services, maintain business and accounting records, resolve disputes, enforce agreements, meet legal requirements, and protect our systems. When information is no longer required, it is deleted, de-identified, or securely archived as appropriate.
We use reasonable administrative, technical, and organisational safeguards such as access controls, authentication, encrypted connections, backups, logging, least-privilege permissions, and restricted staff access. No internet-based system can be guaranteed completely secure, but we investigate and respond to suspected security incidents in accordance with applicable law.
Subject to POPIA and other applicable law, you may ask us to confirm whether we hold your information, request access or correction, object to certain processing, withdraw consent, request deletion where legally available, or complain about how your information is handled.
Requests can be sent to support@switchcomit.co.za. We may need to verify your identity before acting on a request. You may also contact the Information Regulator (South Africa) through its official channels.
Our business services are not intentionally directed to children. A parent, guardian, or other competent person must provide any required authority where services involve the personal information of a child.
We may update this policy when our services, providers, legal duties, or processing practices change. The latest version will remain available at this URL with its effective date.
